For EV charger calls, it captures vehicle make and model and target charging amperage. For generator calls, it captures fuel preference (natural gas, propane, diesel) and approximate square footage.

This structured capture is what separates a voice AI from a human answering service. The data lands in the FSM as a typed record, not a transcript.

3. Route by Severity

Emergencies get escalated immediately to the on-call live tech via SMS, push notification, or warm transfer, with the structured intake summary attached. Service calls book directly into the FSM against the next available slot in the customer's zone. Project calls route to a virtual estimator queue with a callback window — 30 minutes during business hours, 9am next business day after hours.

The escalation logic is the single most important piece of configuration. Configured poorly, a panel-arcing call gets booked as a 10am-Thursday service appointment and the customer's house burns down. Configured well, the call routes to the journeyman on call within 90 seconds of pickup.

4. Book or Quote

For service calls, the agent reads the customer's zone and the dispatch board, offers two to three time windows, confirms the appointment, and books it. The customer gets an SMS confirmation with the technician's name, photo, and ETA window.

For projects, the agent does not quote price. This is critical and we will return to it in the pitfalls section. The agent confirms the lead, schedules the in-person inspection or virtual estimating call, and routes the structured intake to the estimator.

5. Confirm and Hand Off

Every call ends with a recap: "I have you down for tomorrow between 10am and noon, a service call for a tripping breaker in the kitchen circuit, technician Marcus, you'll get an SMS confirmation in the next minute. Is there anything else?"

The hand-off to the FSM happens in the same moment. By the time the call disconnects, the appointment is on the board, the customer is in the database, and the dispatcher's screen has refreshed.

6. Learn

Every call is transcribed, every classification decision is logged, and every misroute is flagged for human review the next morning. The office manager spends 15 to 20 minutes a day in the review queue for the first two weeks, then 5 to 10 minutes a day at steady state.

The 9-Day Rollout (HowTo)

Day 1. Pull the last 90 days of call detail records. Segment by hour, day, and ring duration. Calculate baseline missed-call rate, after-hours abandonment, and current capture rate. Document the average ticket and close rate on first call. This is your scoreboard.

Day 2. Pick the vendor against the criteria above. Sign the contract. Schedule the configuration session with the vendor's implementation engineer.

Day 3. Configuration session, typically 90 minutes to 3 hours. Walk through your service vs. project taxonomy, the emergency keyword list, the after-hours on-call rotation, the zone-to-tech mapping, and the FSM appointment types. Record the call recording consent script for your state.

Day 4. The vendor delivers a sandbox number. Run 20 to 30 scripted scenarios against it: a panel-arcing emergency at 3am, a tripping breaker during business hours, an EV charger project, a customer asking for pricing on a panel upgrade, a customer asking for a journeyman by name, a Spanish-language caller, a caller with a heavy accent, a caller with a dog barking in the background. Every misclassification gets logged in a shared sheet.

Day 5. Vendor retunes overnight against the misclassification log. Run a second round of 15 scenarios. Continue until the classification accuracy is above 92 percent on the test set.

Day 6. Live cutover on after-hours only. The AI handles every call between 5pm and 7am. The office manager reviews every call recording the next morning. Adjust over Slack with the vendor.

Day 7. Continue after-hours. Run a parallel test where the AI shadows business-hours calls — the human answers, the AI generates a draft intake from the call recording, and the office manager scores the AI's classification against the human's.

Day 8. Cut over business-hours overflow (calls that ring past 4 rings to the office). Continue after-hours. Now the AI is handling roughly 60 percent of total inbound volume.

Day 9. Full review. Pull the day-by-day numbers: missed-call rate, after-hours capture, first-call booking rate, classification accuracy, emergency response time. Decide on full cutover or another week of supervised rollout.

Pitfalls That Sink Receptionist Rollouts

Routing emergencies to a callback queue. The single most expensive misconfiguration. If "panel arcing" or "burning smell" is in the call, the agent must escalate to a live tech within 90 seconds. We have seen shops set up emergency keywords as a "priority callback" and discover three weeks later that an arcing-panel call sat in the queue for two hours. Configure the live transfer, test it weekly, and document it as a service-level commitment to the customer.

Quoting price without an in-person inspection. Every electrician knows the answer to "how much for a panel upgrade?" is "it depends on what's in your wall." But customers ask anyway. Configure the agent to never quote a price for panel upgrades, EV chargers, generators, or whole-home rewires. The agent says: "Panel upgrade pricing depends on a load calculation, your local utility, and the permit fees. I can book the in-person inspection with our estimator — that's free and takes about 30 minutes — and you'll have a written proposal within 48 hours." Customers accept this.

Promising same-day service. Configure the agent against the actual schedule. If your earliest service slot is tomorrow at 1pm, the agent says "tomorrow at 1pm." It does not say "we can get a tech out today." Over-promise once and the customer churns.

Skipping the recording disclosure in two-party states. California, Florida, Illinois, Maryland, Massachusetts, Michigan, Montana, Nevada, New Hampshire, Pennsylvania, Washington, and Connecticut require both parties to consent to recording. Configure the disclosure in the opening greeting. Failing this exposes you to civil penalties and undermines call recording as evidence in any dispute.

Letting the agent commit to a tech by name. Customers ask for "the guy who came last time." The agent should not promise a specific journeyman without confirming availability in the FSM. Configure the agent to say "I'll note your preference and the dispatcher will assign him if available."

The Metrics That Matter

Six numbers tell you whether the receptionist is working.

After-hours capture rate. Calls answered (not abandoned, not sent to voicemail) divided by total after-hours calls. Target: 90 percent or higher within 30 days.

Emergency response time. Time from call pickup to live tech reaching the customer for a triaged emergency. Target: under 5 minutes for hand-off, under 60 minutes for tech on site.

First-call booking rate. Calls that result in a booked appointment without requiring a human follow-up. Target: 62 percent or higher.

Appointment-revenue-recovered (ARO). Revenue from appointments booked by the AI that would otherwise have been missed calls. This is your primary ROI metric.

Classification accuracy. Calls where the AI's emergency/service/project routing matched what the office manager would have done. Target: 95 percent on a weekly audit sample.

Customer satisfaction. Post-call SMS survey. Target: 4.4 or higher out of 5.

FAQ

Will customers know they are talking to AI?
